Data Controller
The data controller is Transportes Aéreos Portugueses, S.A., also operating under the commercial name TAP Air Portugal, a company incorporated as a public limited company, headquartered at Building 25 of Lisbon Airport, 1700-008 Lisbon, Olivais parish, Lisbon municipality, Portugal, registered at the Lisbon Commercial Registry Office under the sole registration and corporate number 500 278 725, hereinafter referred to as TAP.

Personal Data Being Processed
In the context of your participation in the TAP Awards 2025 event, we need to collect your name, email, phone number, the entity you represent, arrival and departure dates, and any dietary restrictions.
During the event, we may also capture your image and/or voice through photographs and/or video recordings.

Purposes of Processing, Legal Grounds, and Retention Periods
The personal data collected will be processed by TAP for the following purposes:

• Administrative and logistical management of the event: name, name of any accompanying person, email, phone number, company represented, arrival and departure dates, any dietary restrictions. This data will be processed based on your consent and TAP's legitimate interest in promoting and managing the TAP Awards 2025 event. The data will be deleted once the purposes for which it was collected are fulfilled, unless it must be retained for compliance with a legal obligation.
• Institutional communication: image and voice, name, company represented, based on your consent. The personal data collected may be reproduced in photographs or videos on TAP’s internal or external communication platforms, including the website and app, newsletters, social media, and in-flight entertainment, individually or together with other images and/or voices, without territorial limitation, always in association with the promotion of TAP Awards 2025.
• Historical archive: name, company represented, image, and voice may be retained indefinitely for the purpose of maintaining a historical archive, based on TAP’s legitimate interest.

Security Measures
Committed to complying with personal data protection legislation, TAP ensures that this data is processed only for the purposes for which it was collected or that are legally permissible, with appropriate levels of security and confidentiality.

Data Sharing
Photographs or videos collected may be shared with other TAP Group companies, as well as with companies participating in the event.
TAP may use external partners to achieve the aforementioned purposes, including communication agencies, content management and production companies, and providers of development, maintenance, and hosting services for information systems, who may have access to the collected personal data. TAP establishes contracts with all such partners, ensuring the implementation of appropriate technical and organizational measures to protect personal data during the processing activities.

Collected data may be transferred to partners located in third countries (outside the European Economic Area and without an adequacy decision issued by the European Commission), with TAP ensuring that adequate safeguards are in place for such transfers, in accordance with applicable legislation.

Data Subject Rights and How to Exercise Them
In accordance with applicable legislation and its limitations, you may exercise your rights of access, rectification, objection, portability, erasure, and restriction of the processing of your personal data.
Whenever processing is based solely on the data subject’s consent, you may withdraw that consent at any time, without affecting the lawfulness of processing carried out prior to the withdrawal.
To exercise any of these rights, within the limits provided by law, you may send an email to dpo@tap.pt, and TAP guarantees a response within a maximum period of one month.

As a data subject, you also have the right to lodge a complaint with the Comissão Nacional de Proteção de Dados (CNPD) (Portuguese Data Protection Authority).
